We collect different categories of information depending on how you interact with Qira:

  • From practices: Practice name, address, contact information, PMS integration details, staff user accounts, and operational data.
  • From users: Names, email addresses, phone numbers, and roles within the practice.
  • From patients (through the practice): Appointment information, communication history, treatment-related notes, and follow-up records.
  • Technical data: Server logs, device and browser information, IP addresses, and usage analytics.

3. How We Use Data

  • To provide and improve Qira services including patient communication, appointment reminders, follow-ups, clinical notes, and staff task management.
  • To send service-related emails, SMS messages, and calls on behalf of the practice (appointment reminders, follow-up instructions, task notifications).
  • To analyze and improve platform performance using aggregated and anonymized data where possible.
  • To respond to support requests and communicate about service updates.

4. Data Sharing

We do not sell or rent personal data or messaging consent data to third parties, and we do not share mobile numbers or text messaging opt-in/consent with third parties for their own marketing purposes.

We only share data with subprocessors necessary to deliver the service, including hosting providers, SMS carriers, and telephony providers.

Text messaging originator opt-in data and consent will not be shared with any third parties, excluding providers necessary to deliver the messaging service.

5. Security & Retention

We implement appropriate technical and organizational safeguards to protect your data, including encryption at rest and in transit, access controls, and regular security reviews.

We retain data for as long as necessary to provide our services and as required by legal and contractual obligations. When data is no longer needed, it is securely deleted or anonymized.

6. HIPAA Alignment

As a platform serving dental practices, Qira is designed with HIPAA considerations in mind. We enter into Business Associate Agreements (BAAs) with covered entity customers as appropriate and implement safeguards consistent with HIPAA requirements for protected health information (PHI).

You have the right to:

  • Access the personal data we hold about you.
  • Request correction of inaccurate data.
  • Request deletion of your data, subject to legal and contractual obligations.
  • Opt out of marketing communications at any time.
